Xeople Recruit users now can share their calendars with fellow employees who are invited to the application, enabling them to view their activities. Furthermore, users can revoke calendar access, giving them the flexibility to stop sharing their calendar whenever they choose.

Share Calendar Feature:

• For users on the Meeting page from the home screen, the Share Calendar button is available on the top of the page.
• Upon clicking the Share Calendar button, a pop-up opens with two tabs: Share Calendar and Revoke Sharing. The default tab is Share Calendar.
• The calendar will not expire if a date is not chosen in the Share till date field until the sharing is explicitly revoked.
• The Share Calendar tab includes the following fields:
  • Select Employees to Share Calendar: A mandatory field where users can choose multiple employees to share their calendar.
  • Share Till Date: An optional checkbox that, when selected, allows users to specify a date until which the calendar will be shared with the selected employees.
  • Can View Basic Details (Title, Duration, Attendees, Organiser): The default selected radio button, allowing employees to view only basic details of the activity.
  • Can View All Details: An option that, when chosen, grants employees’ access to view all details of the activity in view mode.
  • Send Email: Allow users to send an email by selecting an email template from the Insert Template option. If the Send Email checkbox is not selected, users will automatically receive a system-generated email.
  • Share Button: Clicking this button shares the calendar with the selected details to employees. A standard success message appears at the bottom of the screen.
• Users have the option to re-share their calendar with an employee only after they have revoked the sharing with that specific employee. Once the sharing is revoked, the employee will reappear in the calendar sharing options, and users can select them again from the employee dropdown to resume sharing.

Revoke Sharing:

• The Revoke Sharing section allows users to revoke access to the calendar for those with whom it was previously shared. It displays a list of employees with the following details:
  • Profile picture
  • Name of the employee
  • Email ID of the employee
  • Delete icon for each employee to individually revoke calendar access.
  • Additionally, there is a Select All checkbox to revoke the calendar for all listed employees.
  • Revoke Sharing: Clicking on this button prompts an alert box asking, “Do you want to revoke the calendar of the selected employee(s)? Yes/No.” Choosing Yes revokes the calendar, while choosing No discards the action.
  • After revoke sharing, users can see all the selected employee(s) in the share calendar employee drop-down.
  • Icons and control placements are for reference and can be updated as needed.
